Position: Administrative Assistant // Full-Time
GBMc & Associates is an Arkansas-based environmental and engineering consulting firm providing strategic environmental services to industrial and municipal clients within Arkansas and in numerous other states. We have a full-time position open for an Administrative Assistant.
Job Summary:
GBMc & Associates is seeking a highly motivated, organized individual to join our team in a full-time Front Desk Administrative position. This individual will play a vital role in day to day operations as well as other projects as assigned. Excellent communication skills, attention to detail, positive attitude, and ability to work in a fast-paced environment are required.
The successful candidate will field incoming phone calls, manage flow through the front door/reception area, maintain office supply inventory, and provide support to GBMc engineers and scientists in preparation of deliverables for clients. Must be willing and able to follow document tracking measures and regularly and clearly communicate regarding project status, ensuring that all projects are prioritized appropriately and completed according to assigned deadlines.
Primary Duties & Responsibilities:
- Prepare and compile complex documents requiring Table of Contents, Appendices, Charts, Spreadsheets, Forms, and Photos. This requires advanced skills in Microsoft Office products such as Word, Excel, PowerPoint, and others. Manipulation and conversion of documents using Adobe Pro software is also required.
- Develop, update, and maintain administrative systems to make them more efficient including document preparation and workflow, supply ordering, and others as needed or requested.
- Maintain an efficient office, tracking the inventory of supplies (both office and miscellaneous) so that anticipated shortfalls are identified and ordered in a timely manner.
- Perform routine maintenance and coordination with the copy machine provider so that repairs are made as needed in a time sensitive manner.
- Other duties as assigned such as assisting others with travel logistics and meeting/conference registrations as needed/requested
Qualifications & Skills:
- This position requires extreme attention to detail as well as EXCELLENT communication and organization skills.
- An understanding of technology including use of a pc in a network environment, video and telephone equipment, and set up of conference calls.
- The ability to review documents to check that edits have been made, grammatical errors have been eliminated, and standard fonts, styles and formatting have been used.
- The ability to be adaptable to quickly changing priorities and tasks.
- Understanding the resources available to assist staff with a broad range of requests, such as who to call to upgrade mobile phones or who to contact for extra cleaning services/trash removal.
- Ability to communicate clearly and effectively both verbally and in writing.
Salary & Compensation Package:
- The standard work week for this position is Monday through Friday 8:00 – 5:00. One hour is available for lunch.
- The base pay range for this position is $16 – $21 per hour based on experience and is eligible for overtime pay.
